EXECUTIVE SECRETARY
Position Summary Duties performed are of a complex and varied secretarial/administrative support nature usually in a major function, department, or unit of the University. This is the most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with more complex secretarial support services or program-related activities, including handling substantive secretarial/administrative details and duties for a supervisor. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.
Required Qualifications High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Microsoft 365, SAP, Data Warehouse, TimeClock Plus). 
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities Maintains and analyzes set of complex budgetary records for several accounts by performing bookkeeping related duties such as reconciling, monitoring, making, and tracking expenditures.
Maintains Visa Spend Clarity net for several accounts.
Acts with a high degree of independence as liaison with students, visitors, faculty, staff, and other individuals both on and off-campus.
Answers phones and greets visitors to the department.
Answers questions and assists with problems of students, faculty and others.
Creates and maintains personnel records.
Creates summer payroll for department.
Records payroll for faculty, graduate assistants, and students.
Assists with coordination and organization of advertising and recruitment of regular and temporary faculty and staff, including correspondence, file maintenance, hotel accommodations, creation of candidate itineraries and volunteer sheets and reimbursement of expenses.
Interviews, hires and supervises student employees.
Assists with preparation and implementation of the department’s graduate assistant orientation.
Assists with assignment and movement of department faculty and graduate students’ offices.
Coordinates meetings for various department activities.
Assists with maintenance of department chair’s calendar.
Maintains keys and key list for the department.
Creates purchase requisition for new equipment and maintenance agreements.
Updates surveys from various outside organizations.
Assists with planning and coordinating department events, i.e. welcome picnic, annual Department Awards ceremony, retirement dinners, appreciation dinners.
Assists with awarding of department scholarships.
General office duties: maintaining department files, photocopying, pickup and deliveries of office related items.
Other duties as assigned.
