Position Title EXECUTIVE SECRETARY
Position Summary Responsible for staffing the Business Student Services office and assisting and supporting the Associate Dean, Director, and Associate Director of the Hub for Student Engagement and Professional Development with a broad range of office and event needs in the College of Business Administration. Assembles materials, makes space reservations, responds to calls and emails from students, their supporters, and other stakeholders. Assists with undergraduate BUS scheduling, runs BSBA admission reports, reviews conditional booking reports, and responds to incoming registration exception requests.
Required Qualifications High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job with or without reasonable accommodation.
Preferred Qualifications Knowledge of systems used (Excel, SAP, Succeed, Degree Progress).
Duties & Responsibilities Prepares hire forms and submits to Student Employment Services for Student Services student assistants, campus ambassadors, BUS Peer Mentors, other Student Coordinators. Monitors GSA and work study accounts and budget; prepares job postings, work schedules, trains, and supervises students, and approves hours in Time Clock Plus.
Responds to phone inquiries and walk-in-traffic; answers general questions about building, CBA, advising, campus referrals.
Manages the CBA email inbox, routing announcements and requests as needed.
Orders office supplies; prepares business card reconciliation form each month for Student Services office and office of Student Engagement and
Professional Development.
Supports Associate Dean with administrative projects, course scheduling for BUS courses, monitoring classes for cap size, and other needs.
Handles BSBA Admission process; applications to the BSBA form; enters status in SAP.
Monitors the exception requests for BSBA courses; communicates with advisors, departments, and director as needed.
Runs automatic admission process in SAP to generate BSBA admission emails.
Runs reports for data in Data Warehouse.
Reviews and investigates the conditional booking report situations each time grades post; updates notes; runs related reports to find students who need to be dropped from courses.
Communicates data requested for the AACSB Benchmark report for business accreditation; runs reports; communicates with faculty and dean’s office staff.
Prepares enrollment management document showing Core blocks so director can review to check for conflicts and variety of days/times of integrated courses in the 9 hour block.
Assists with monitoring enrollment in BSBA courses to aide in the communication process with department chairs; communicates with department OPs about deadlines when appropriate.
Assists with monitoring and processing exception requests during busy times for high volume programs (e.g., BSBAMSIS).
Reviews transcripts for grades in summer courses or other prerequisite courses needed for registration in next courses.
Assists the BRC Director/Associate Director with administrative projects and needs.
Hires BRC student leaders, peer mentors, and CBA ambassadors and processes Time Clock Plus hours.
Assists with space reservations, orders, catering orders, supplies, materials.
Assists with the communication plans with Admissions and CBA staff and students regarding guests visiting the CBA.
Assists with monitoring Slate lists of guests; number of anticipated attendees.
Submits room requests and catering requests to PLAN for CBA recruitment events.
Gathers, copies and organizes materials for recruiting events that office organizes / attends: CBA Discovery Days packets to handout to guests; orders recruitment event supplies as needed.
Assists during orientation and other recruitment events and coordinates volunteers at events as needed.
Assists with college events as needed (e.g., staffing event, swiping ID cards, collecting workshop evaluations, creating and monitoring registrations, etc.).
Assists BRC Director with updating and assembly of yearly new BRC student information binders for distributing to new incoming BRC students at the start of Fall semester.
Contacts copier repair company when copier needs serviced; order copier supplies (toner, paper, etc.).

About the Department The Business Student Services and the Hub of Student Engagement and Professional Development are a critical part of the College of Business Administrations’ success in serving its students. The Business Student Services office handles academic advising, and the Hub handles professional development experiences, so that all CBA students have the foundations of success.
